JOB TITLE: Affinity Groups Program Assistant
REPORTS TO: Family Programs Coordinator
FLSA STATUS: Non-Exempt, PT two weeks per month
SALARY RANGE: $21.00 – $23.00/hour

POSITION SUMMARY:
The Affinity Groups Assistant plays an essential role in supporting the Family Programs Coordinator
with daily operations, event execution, and participant engagement of LCA’s affinity group programs
(Club de Eterna Juventud y Calma en el Hogar). This position is responsible for coordinating meetings
and event logistics, ensuring reliable participant transportation, maintaining accurate database records,
and providing a supportive environment for all participants across multiple cities.

ESSENTIAL RESPONSIBILITIES AND CORE COMPETENCIES:

  • Communication & Engagement
    • Conduct outreach calls to share schedules, communicate updates, or notify participants of event changes
    • Manage invitations and confirm attendance to ensure accurate head count for all meetings
    • Gather ongoing feedback from participants to identify new opportunities and help tailor activities to their interest and abilities
  • Meeting & Event Logistics
    • Safely operating the program van to transport participants to and from meetings, providing
      hands-on physical assistance as they board and exit the vehicle.
    • Collaboratively plan and coordinate transportation support when single-city events involve participants traveling from all three regional cities.
    • Reserve meeting spaces, rooms, or venues, and physically arrange necessary equipment
      (including chairs, materials, microphones, and AV tech).
    • Procure necessary activity supplies and manage meal/refreshment arrangements, including
      purchasing lunch when required.
    • Actively assist and host participants during meetings to ensure a welcoming and smoothly run environment
  • Data Administration & Record Keeping
    • Maintain accurate, up-to-date records of participants within the Apricot database.
    • Promptly log attendance in Apricot following each meeting or event.
    • Promptly record attendance in a spreadsheet or Google Form
    • Provide direct support to participants who require assistance filling out program forms and documentation.
  • Vehicle Maintenance
    • Oversee the basic upkeep of the program van, ensuring it remains clean, organized, and safe
      for participant transport.
  • Miscellaneous
    • In the absence of the Family Programs Coordinator, the Affinity Groups Program Assistant will assume the essential duties to ensure the continuity of the program’s services and activities.

QUALIFICATIONS:

  • Required
    • Previous experience in event coordination, or direct client engagement within community settings is strongly preferred.
    • Proficiency with basic office software (like Google Workspace)
    • Proficiency in scheduling and calendaring
    • Ability to pass a comprehensive background check (standard for working with seniors/minors)
    • Bilingual in Spanish and English
    • Strong communication skills, listen proactively and demonstrate commitment to engage empathetically with diverse participant populations
    • Strong attention to detail, excellent time management, and the ability to coordinate across
      multiple regional locations
    • First Aid / CPR Certification (LCA provides training once a year)
  • Preferred
    • Experience working with immigrant or diverse communities
    • Previous experience with database management systems
    • Experience with driving passenger vehicles (van, bus, etc.)
  • Working Conditions
    • Some evening and weekend hours may be required for events and programs
    • Ability to handle both office-based tasks and community-based field work
    • Ability to lift up to 35 lbs. and have the capability to lift or move event equipment (chairs, supplies, etc.)

SPECIAL REQUIREMENTS:

  • Reliable vehicle, essential for community-based work, transporting materials to events, or visiting off-site partners
  • Possession of or ability to obtain a valid Oregon’s driver’s license
  • Proven track record of safe driving is required to operate the program van.
  • Proof of valid automobile insurance.
