Bilingual Administrative Assistant – Central Oregon

 

We are seeking a Bilingual Administrative Assistant to strengthen the foundation of our nonprofit organization and help our professional staff team and volunteers be as efficient and effective as possible in service to our immigrant families. Because 80% of our staff team members are native Spanish-speakers, being bilingual in English and Spanish is an important requirement for the job – not essential, but important. Because of our rapid growth in recent years, our Executive Director (ED) truly needs support from an administrative assistant. You will report to the ED and work as a team to provide direct support to other staff as time allows.

 

This position is 24-30 hours/week to start, with the opportunity to expand to 40 hours/week. The work schedule is flexible, but requires regular day, evening and occasional weekend work. Some work from home is allowable, but many tasks require your presence at the office. Flexibility is a core value at LCA and one of the greatest benefits we provide our team members.

 

Compensation

The pay rate is $20-$23/hour (depending on qualifications) plus benefits with opportunities for increases dependent on performance and funding. Pay will transition to a salary once we agree you are a good fit for this position. Benefits include matching employer contribution to a 401K retirement plan, paid time off, health insurance reimbursement, and an annual health expense allowance. Work-related mileage will also be compensated according to the regional or county prevailing rate, excluding mileage between work and home.

 

General Responsibilities

  • Maintain a welcoming office atmosphere of trust and support
  • Communicate regularly by phone, email, etc. in a clear and professional manner
  • Work as a team for the good of the organization and the families we serve
  • Additional tasks as needed and as detailed here below:

 

Human Resources (25%)

  • PTO/Sick Time tracking
  • Hours tracking for hourly employees
  • Run payroll reports and save to Google Drive
  • Coordinate hiring and new staff onboarding procedures
  • Track employee performance reviews; schedule/coordinate
  • Draft Independent Contractor agreements; handle invoicing/payments
  • Assist the Executive Director (ED) with admin/HR questions from staff
  • Keep forms up-to-date, review for accuracy (reimbursements, health expenses, etc.)

 

Finances (40%)

  • Track purchase receipts (esp. credit cards)
  • Track and review employee reimbursement requests
  • Download bank statements and save to drive
  • Download online donation platform statements, save to drive; Allocate to accounts/customers
  • Download PayPal statements and save to drive; Allocate to accounts/customers
  • Scan and save donation checks to the drive
  • Help with bank deposits
  • Help create invoices and track receivables
  • Monitor credit card balances and payments
  • Generate Accounts Payable checks for ED to review and sign

 

Membership (10%)

  • Track membership payments and membership database entries
  • Manage renewals; send reminders
  • Help with member communications
  • Help with marketing/promotion

 

Other Admin Tasks (25%)

  • Manage staff/volunteer email accounts; help solve minor technology problems
  • Provide technology support (phones, computers, etc.) to staff/volunteers
  • Meeting support for ED, board and staff
  • Provide support to Board of Directors and LCA Committees
  • General organization of documents, files, etc. (most are in Google Drive)
  • Support ED with reporting needs (program outcomes, grants, budgets, etc.)
  • Support Development Manager with fundraising/donor/event needs (if time allows)

 

Qualifications

  • Bilingual (Spanish-English) speaking and writing
  • Minimum three years of experience responsible for similar administrative tasks
  • Good communication skills
  • Organized with attention to detail
  • Ability to manage time wisely and prioritize multiple tasks
  • Proficiency with basic office tools (Google Drive, Microsoft Office, printing, scanning, spreadsheets, database entry, etc.)

 

Preferred Qualifications

  • Bilingual (Spanish-English) and bicultural (Latin American)
  • Experience with cloud software: Quickbooks, donor database, etc.
  • Advanced Excel spreadsheet operations
  • Extensive knowledge of human resource policies and practices
  • Nonprofit experience

Our team is comprised of 20 paid staff (95% bilingual), roughly 250 volunteers, and many community partners. Our programs include workforce education and training, family empowerment, youth rising, healthy families, advocacy, leadership development and cultural enrichment.
